Xero unpaid bills report: a list of bills to pay

Before a payment run you want the actual bills: supplier, reference, due date and amount. The unpaid bills list is that list.

What it shows

  • Each unpaid bill
  • Due dates, amounts outstanding and how overdue each one is
  • In Xero, a planned payment date column

Working from the list rather than the summary makes payment runs quicker: you can pick bills by due date, leave disputed ones aside and check nothing is paid twice.

Where to find it in Xero

The closest Xero report is Aged Payables Detail (Reporting > All reports). Payable Invoice Detail is an alternative for bills raised in a period.

Settings worth knowing

  • Ageing by due date or invoice date
  • Grouping by contact group, document type or tracking category

Things to watch out for

  • It's a snapshot at the report date.

Getting it by email on a schedule

Xero can't email reports on a schedule, so the usual routine is to export the report and attach it by hand. Reportpost sends a clean list of every unpaid bill as at the day it sends, with supplier, reference, dates, amount due and days overdue, timed for the day before your payment run. Choose weekly, every two weeks, monthly or quarterly, and the recipients. You can try the demo without connecting Xero.
