Which Xero reporting tools email reports on a schedule?

Syft, Fathom, Spotlight, G-Accon, Coupler.io, Zapier and Reportpost compared on one question: can they email your Xero reports on a schedule?

Plenty of apps build reports from Xero data. Fewer of them get those reports in front of the people who need them without anyone logging in. This page compares the common options on that one job: sending Xero reports on a schedule, and what actually arrives in the inbox.

We make Reportpost, so we're not neutral. We've stuck to what each vendor says publicly (checked in October 2026) and linked to their pages in the table below so you can check for yourself. Features and prices change, so confirm anything important with the vendor.

Quick comparison

Xero on its ownRunning and exporting reports (PDF, Excel, Google Sheets)No. Emailing reports on a schedule was marked "In discovery" on Xero's ideas forum in May 2026.

FathomAnalysis and management reports for advisorsYes, included with Fathom Pro, from custom templates. The email asks recipients to log in to view or download the report; the PDF isn't attached, which Fathom says is for security.

Coupler.ioLoading Xero data into Sheets, Excel and BI toolsIt refreshes data on a schedule; we didn't find a feature that emails reports.

When Reportpost is the wrong choice

Reportpost does one job: it sends Xero's standard reports on a schedule. It doesn't do dashboards, forecasting, consolidation of several entities, KPI scorecards, written commentary or custom report layouts. If you need those, look at the analysis tools:

  • Syft Analytics if you want dashboards, forecasts and consolidation; Xero partners on eligible Xero plans get it at no extra cost.
  • Fathom or Spotlight Reporting for advisory-style management reports with KPIs and commentary.
  • Joiin if consolidating several entities is the main job (see consolidated reporting in Xero).
  • G-Accon or Coupler.io if you'd rather build your own reports in Google Sheets, Excel or a BI tool.

When it's the right choice

If the reports you need already exist in Xero (profit and loss, balance sheet, aged receivables, budget vs actual and so on) and the problem is getting them to directors, clients or a lender every month without exporting and attaching files, that's what Reportpost is for. Recipients get the files themselves, so they don't need a login, and the figures come straight from your Xero data.
