Xero Aged Payables Summary: what you owe and when

The Aged Payables Summary is the mirror of the debtors report: what you owe each supplier and how overdue it is. It helps plan payment runs and spot bills that have slipped.

A sample Aged Payables Summary for a demo company, as Reportpost sends it.

What it shows

  • One row per supplier with ageing columns and a total
  • Unpaid bills, credit notes, expense claims and overpayments
  • Outstanding tax and amounts as at the report date

Where to find it in Xero

Reporting > All reports > Aged Payables Summary.

Settings worth knowing

  • Ageing by due date or invoice date
  • Ageing periods, shown as period numbers or date ranges
  • Grouping by contact group, document type or tracking category

Things to watch out for

  • It's a snapshot at the report date, so bills paid since still show.
  • Aged by invoice date, the Current column stays empty unless you include the report date in it.

Getting it by email on a schedule

Xero can't email reports on a schedule, so the usual routine is to export the report and attach it by hand. Reportpost builds the aged payables summary from your Xero bills as at the day it sends, netting credit notes, overpayments and prepayments, with columns for Current, 1 to 30, 31 to 60, 61 to 90 and over 90 days by due date. You can age by invoice date instead. Choose weekly, every two weeks, monthly or quarterly, and the recipients. You can try the demo without connecting Xero.
