What it shows
- Each repeating bill template, with supplier, reference and how often it runs
- The next bill date, any end date and whether new bills are saved as drafts or approved
- An average monthly cost per template and in total, with weekly and quarterly templates converted to a month
Like repeating invoices, repeating bills have no report in Xero. Bills raised by a template show up in the payables reports once they exist, but the templates themselves, and what they add up to each month, only appear on the Repeating tab.
Where to find it in Xero
There's no report for this in Xero. The list lives under Purchases > Bills > Repeating (in older Xero menus, Business > Bills to pay), one row per template.
Settings worth knowing
- On the Repeating tab, open a template to see or change its schedule, amount and save option
Things to watch out for
- The Repeating tab is a screen, not a report, so there's no export or PDF of the list.
- Amounts are the template amounts. If you change a draft bill's amount before approving it, for example because the supplier's bill came in different, the bill in Xero won't match the list.
- Amounts include tax, as on the bill.
Getting it by email on a schedule
Xero's standard report screens have no schedule option, so the usual routine is to export the report and attach it by hand. Reportpost sends a list of your repeating bills as at the day it sends: supplier, reference, how often, next bill date, end date, status, amount and an average monthly cost, with a monthly total per currency. Use it as a monthly check of fixed costs, or to spot a lease or contract about to end. If a template's next date has passed without Xero raising the bill, the list marks it. You choose the recipients and how often the email goes out: weekly, every two weeks, monthly or quarterly, at the hour you pick in your timezone. Try the demo without connecting Xero.
