Xero management report pack: how to build one and send it monthly

How to create a report pack in Xero from the Management Report, what Xero can and can't do with it, and how to get the pack to clients every month.

A report pack is the closest thing Xero has to a monthly board or client pack: several reports bundled into one document. Building one is straightforward. Getting it in front of the people who need it every month is the part Xero leaves to you. This guide covers both.

What a report pack is in Xero

Xero ships a ready-made pack called the Management Report. By default it contains six reports: Executive Summary, Cash Summary, Profit and Loss, Balance Sheet, Aged Receivables Summary and Aged Payables Summary. You can add reports, remove the ones you don't need and change the order, then save the result as your own custom pack.

You need the administrator, standard with reports, or cashbook client role to build and save packs. Only administrators can publish, archive or delete them.

How to create a custom report pack

At the time of writing, the steps are:

  1. Go to Reporting, then All reports.
  2. Next to Management Report, open the menu and choose Create new report pack.
  3. Use Add report to build the pack. Add the Profit and Loss, Balance Sheet and whatever else your reader expects.
  4. Set the pack's date range and click Update.
  5. Choose Save as, then Custom, and give the pack a name you will recognise next month.

Next month you open the saved pack, change the date range and update it. The structure stays the same.

Inside a pack you can add text blocks and notes for commentary. The layout editor is available on the Balance Sheet, Profit and Loss, Cash Summary, Budget Variance, Cash Flow, Movements in Equity and Blank Report.

Report templates for practices

Accountants and bookkeepers have a second option: client report templates, managed at practice level (in Xero HQ, now moving into Xero Partner Hub). A template marked as ready to use appears in every client organisation under the Adviser tab of All reports, and it can store a relative date range such as last month or last quarter. Two limits worth knowing: changes made inside one client's organisation stay in that organisation, and templates can't include every report (bank reconciliation and payroll reports, for example, aren't available).

Cover page and contents

Packs can include a cover page and a contents page. When you publish you can set the title, date and preparer, and partners can choose a PDF style, title colour and watermark. That's about it: there's no logo upload or fully custom cover, and Xero said in 2022 that it had no plans to make cover pages more flexible. If a client expects a branded front page, you'll need to add it outside Xero. Our free cover page generator makes one with your logo and colours.

Sharing a pack: what Xero can and can't do

You can export a pack to PDF, Excel or Google Sheets, and you can publish it, which keeps a permanent read-only copy inside Xero. Partners can also export a styled PDF. What you can't do is schedule a pack or email it from Xero. Every month someone has to open it, update the dates, export and attach the file.

That gap has been on Xero's product ideas forum since 2014, where it has 787 votes and is marked "In discovery". In May 2026 Xero said it was exploring ways to email and auto-schedule reports, with no release date. Until that ships, delivery stays manual.

Getting the pack to clients every month

There are three realistic options:

  • Keep it manual. Update the saved pack, export to PDF, email it. Fine for one or two packs a month, tedious for twenty.
  • Build your own automation. A general workflow tool connected to Xero's API can do it, but it takes setup and upkeep, and it runs into the same API limits described below.
  • Use a scheduled report app. Apps connect through Xero's official API and email the reports on a schedule.

One thing to know before choosing an app: Xero's API returns the standard reports (Profit and Loss, Balance Sheet, aged receivables and payables, Bank Summary, Trial Balance, Executive Summary, Budget Summary and tax reports such as BAS, GST and 1099). It doesn't expose saved packs, text blocks or custom layouts. So an app can rebuild a pack from the standard reports, but it can't send the exact custom pack you designed in Xero.

How Reportpost handles a monthly pack

Reportpost is one of those apps. You connect Xero with read-only access, pick the reports for the pack, the period (last month, last quarter, financial year to date and so on) and comparison columns, and it emails them as one combined PDF, as Excel or as CSV on the day and hour you choose. Each schedule has its own recipients, subject and message, so the message field can carry a short commentary. Here's a sample pack.

If your pack depends on custom layouts or text blocks inside Xero, keep building it in Xero and export it yourself. If it's mostly the standard reports with a covering note, automating it saves the monthly routine. You can also try the demo without connecting anything.
