Xero doesn't have a single "customer report". It has several, each built for a different question, and at least one old favourite has been retired and replaced. This guide matches the usual questions about customers to the report that answers each one.
Quick answer
| Question | Xero report |
|---|---|
| Who owes me money, and how late is it? | Aged Receivables Summary |
| Which invoices make up a customer's balance? | Aged Receivables Detail |
| What did I invoice in a period, and to whom? | Receivable Invoice Summary or Detail |
| Who are my biggest customers? | Income by Contact |
| What did customers buy? | Sales by Item, or Inventory Item Summary and Details |
| What do I send the customer? | An activity or outstanding statement |
Who owes you money: Aged Receivables
The Aged Receivables Summary shows how much each customer owes and how long it has been outstanding. Click a customer's name to see their transactions, or click an amount to open the Aged Receivables Detail, which lists the outstanding invoices, credit notes and overpayments behind it.
Two things catch people out. The report is a snapshot at the report date, so an invoice paid after that date still shows up. And the Detail report can age by due date (how late) or by invoice date (how old). For chasing payments, due date is the one you want.
There's more on reading it and a weekly chasing routine in our debtors report guide.
What you invoiced: Receivable Invoice Summary and Detail
If you're looking for the old Customer Invoice Report, Xero has retired it. The Receivable Invoice Summary and Receivable Invoice Detail reports replace it. They list invoices, credit notes and overpayments for a period you choose.
A few useful ways to set them up:
- Unpaid invoices by customer: group by contact, search by due date and filter the status to Approved or Sent.
- What got paid: filter by last payment date.
- Customer prepayments: the Detail report can include prepayments, and filtering to approved ones shows those not yet allocated.
Your biggest customers: Income by Contact
Income by Contact shows income per customer over a period. It counts approved sales invoices in the month they're dated, plus receive money transactions, and you can click through to the transactions behind each amount. If some of your customers are also suppliers, Income and Expenses by Contact shows both sides.
The Receivable Invoice Summary also has a "Top customers" option.
What customers bought: Sales by Item
Sales by Item covers sales of untracked inventory items over a period, with non-inventory goods and services shown for comparison. If you track inventory in Xero, the Inventory Item Summary shows purchases and sales for each item, and Inventory Item Details goes line by line.
What to send the customer: statements
Xero has two kinds of customer statement. An activity statement shows everything in a date range: invoices, payments, credit notes, prepayments and overpayments. An outstanding statement shows only what's still open, with the balance. You can email both from Xero.
For single overdue invoices, Xero's invoice reminders can email customers automatically when an invoice is due or overdue. If you'd rather write them yourself, see our reminder email templates.
Getting customer reports without logging in
Xero's reports export to PDF, Excel or Google Sheets. What Xero can't do yet is email a report on a schedule. Xero staff said in May 2026 that they're exploring it.
Until then, Reportpost can email the main customer reports on a schedule: the Aged Receivables Summary, a list of unpaid invoices and the invoices raised in a period. Pick the reports, how often, the day and who gets them, and they arrive as PDF, Excel or CSV. You can try the demo without connecting Xero.
