Cómo pasar Xero a Google Sheets (en español)
Xero can send a report to Google Sheets in a couple of clicks, but that's a one-off export: Xero's help describes no refresh or schedule for it, so the sheet shows the figures from the moment you exported. If you want a sheet that stays current, for a dashboard, a cash forecast or a client pack built on your own formulas, something has to bring fresh figures in on a schedule. There are three ways to get Xero into Sheets, and two of them keep it current. Which one suits you depends on how much data you need and how often you need it.
Quick answer: three ways to connect Xero to Google Sheets
| Route | Good for | Stays up to date? |
|---|---|---|
| Export a report from Xero | A one-off look at the numbers | No. You export again each time |
| A sync add-on | Transaction-level data, sheets that refresh daily or more often | Yes, usually on a subscription |
| Scheduled CSV files and a short script | The same few reports (P&L, aged receivables, sales by customer, invoice lists) every week or month | Yes, on the schedule you set |
Route 1: export a report from Xero
Open the report from Reporting > All reports, set the dates and options, then click Export and choose Google Sheets. Reports saved on the Custom, Drafts, Published or Archived tabs can be exported straight from the menu next to their name, without opening them (Xero Central: export or print a report). You need a Xero role that can see reports and a Google account. The first time, signing in to Google Drive creates a connection between Xero and your Google account, which you can remove later in your Google account settings.
Budgets from Budget Manager export to Google Sheets too (open the budget, then Export). Most other data, such as invoices, contacts and the chart of accounts, exports only as CSV, which you can then import into Sheets with File > Import.
The catch: nothing refreshes. Next month you export again, and any formulas or charts you built on last month's copy have to be pointed at the new sheet or pasted over. Fine for a one-off, tedious as a monthly routine.
Route 2: a sync add-on
Several apps connect Xero to Google Sheets and refresh the data for you. Most pull more than reports: invoices, bills, contacts and transactions, ready to pivot and chart as you like. Here's what two of the better-known ones list on their own websites (checked October 2026). Prices change and often depend on how many organisations you connect, so confirm before you buy. We aren't affiliated with any of them.
| Add-on | What it does | Free plan or trial | Published starting price | Refresh |
|---|---|---|---|---|
| G-Accon | Xero data and report templates in Google Sheets, with consolidation and emailed reports | 14-day trial, no card | US$60 a month, or US$50 a month billed yearly, for up to 3 companies (US$10 a month for each extra) | Automatic, by schedule |
| Coupler.io | Loads Xero data into Sheets, Excel and BI tools | Free plan: 100 rows per run, manual refresh only | US$32 a month, or US$24 a month billed yearly | Daily on Starter, hourly on Pro (US$259 a month), every 15 minutes on custom plans |
Xero's App Store has a Google Sheets collection with more, including SyncHub and Mixed Analytics' API Client for Sheets. Check which Xero data each one pulls, how often it refreshes and what it costs for your number of organisations before you pick one.
Route 3: scheduled CSV files and a short script
If what you want in the sheet is the same handful of reports every week or month, you don't need a live connection.
- Get the reports by email on a schedule. Xero's standard report screens have no schedule option. Reportpost sends them: choose the reports, pick CSV (or PDF and CSV) as the format, and add the Gmail or Google Workspace address you open the sheet with as a recipient. Each report arrives as its own CSV file, with a header row and then the rows, and amounts as plain numbers. You can pick from 17 reports and lists, including Sales by Customer and the unpaid invoices list.
- Let Apps Script copy each file into a tab. In the sheet, open Extensions > Apps Script and paste in our short script. For each report you list, it finds the newest Reportpost email carrying that report's CSV and overwrites its tab. Amounts land as numbers, so sums and charts work straight away. The script and the step-by-step setup are in saving Xero reports to Google Drive or Sheets.
- Add a time-driven trigger. Set it to run an hour or so after your reports go out, so the tab refreshes by itself every week or month.
- Keep your own formulas on another tab. The script clears and refills the report tabs each time, so point your dashboard or summary at them rather than typing into them.
It costs nothing beyond the Reportpost plan, runs in your own Google account, and the email still reaches everyone else on the schedule. With PDF and CSV it also carries a PDF for anyone who'd rather read the report. The limit is that you get reports, not transactions.
A profit and loss CSV also keeps its section headings and totals. That suits a sheet that reads like Xero's report, but a pivot table would count the totals twice. For pivots, choose the Power BI-ready CSV format instead. It works in Sheets too. The Profit and Loss and Balance Sheet arrive as one table, a row per account and period, with Organisation, Report, Section, Account, Period, Date and Amount columns. Subtotals and the Gross and Net Profit lines are already taken out. For a pivot by month, filter Report to Profit and Loss and use the Date column (2026-09-30 and so on), which sorts in date order. That file is named after the schedule rather than a report, so in the script's list put the schedule's name, as it appears in the file name, where the report name would go (Power BI feed if you started from the Power BI feed pack). The format holds only those two reports. Send anything else from a second schedule. To see the shape first, download a sample file. For a single P&L you've already exported from Xero, our free Profit and Loss to Power BI table tool does the same reshaping. Bring its CSV into Sheets with File > Import.
Which route to pick
- A quick look or a one-off analysis: route 1.
- A monthly board or client dashboard: route 3. Schedule the P&L with the previous 11 months as comparison columns, so each new file carries a rolling year, and chart it from another tab.
- A pivot table of the P&L by month or by account: route 3 with the Power BI-ready CSV.
- A weekly debtors sheet: route 3 with the unpaid invoices list or Aged Receivables Summary, sent every Monday.
- A monthly ranking of your biggest customers: route 3 with Sales by Customer, which lists each customer's sales largest first with their share of the total.
- Sales by item or region, or data that must refresh hourly: route 2. Reports summarise, and for those you need the transactions.
Common questions
Does Xero have a Google Sheets integration?
Partly. Any report, and budgets from Budget Manager, can be exported to Google Sheets from inside Xero. That export is a one-off: the sheet is a copy of the report as it was when you exported it, and the export doesn't repeat on a schedule. For a sheet that updates by itself you need an add-on or scheduled files.
Will an exported Google Sheet update when my Xero figures change?
No. Xero doesn't offer a refresh for it, so to see new figures you export the report again. Sync add-ons and scheduled CSV files are the two ways to get a sheet that keeps up.
Is there a free way to sync Xero with Google Sheets?
Not for a sheet you use every month. There are free trials and small free tiers: Coupler.io's free plan moves 100 rows per run with manual refresh, which is fine for a test but not for a dashboard you rely on. Without a subscription, the routine is a manual export from Xero each week or month.
Can I put several Xero organisations in one Google Sheet?
Yes. Sync add-ons usually handle several organisations and price by how many you connect. With scheduled CSV files, the script can fill one tab per organisation: add one line per organisation, with the start of its name (as in the file name) as a third value. The Power BI-ready CSV goes the other way and puts every organisation in one file, with an Organisation column to filter on. Sending several organisations in one email needs the Bookkeeper or Practice plan (the free trial includes it).
To see how a schedule is set up and which files it sends, try the Reportpost demo with sample data. It needs no Xero connection.
