Can Zapier or Power Automate email Xero reports?

What Zapier and Power Automate can and can't do with Xero reports, the usual workarounds, and a simpler route to scheduled P&L emails.

If you already automate things with Zapier or Power Automate, it's natural to try them for the monthly reports: run the profit and loss, email it to the directors, repeat. Here's what's possible with each, as of October 2026.

Zapier

Zapier's Xero integration has a "New Report" trigger, which fires when someone runs or refreshes one of the chosen report types in Xero, such as the profit and loss or balance sheet. Its actions cover invoices, bills, contacts and payments, including sending a sales invoice by email. What it doesn't have is an action that fetches a report and emails it, so a Zap can react to a report someone has run, but none of its Xero actions will produce the monthly P&L on a schedule.

Power Automate

When we checked Microsoft's connector list in October 2026, we couldn't find a Xero connector built by Microsoft. We found one third-party connector (Xero Accounting by Magnetism, in preview) that works with records such as invoices, payments and credit notes. Check with its maker whether it can fetch reports before you rely on it.

The workarounds people use

  • Calling the Xero API yourself. Xero's API has report endpoints for the profit and loss, balance sheet, trial balance and others. With an HTTP step and your own Xero app you can fetch them, but you then have to handle sign-in tokens, turn the data into a readable PDF or spreadsheet, and keep it working.
  • Exporting by hand, automating the rest. Someone exports the reports each month and drops them in a folder, and a flow emails whatever lands there. It saves the attaching, not the exporting.
  • A scheduled report email, then a flow. Let a reporting app email the reports, and use Power Automate or Zapier on the receiving end to save the attachments to SharePoint, OneDrive or Google Drive, or to pass them on. See saving Xero reports to OneDrive, SharePoint or Google Drive.

A simpler route for the common case

If the goal is "the profit and loss and aged receivables in the directors' inboxes on the 3rd of every month", Reportpost (which we make) does that without a flow: connect Xero, pick the reports, period, day and recipients, and the files arrive as PDF, Excel or CSV. If you still want automation downstream, point your flow at the email.
