Xero reports not working or not loading? How to check and fix it

Xero reports showing errors, not loading or coming out blank? Check Xero's status page first, then work through browser, user role and report setting fixes.

Reportpost emails your Xero reports on a schedule, as PDF, Excel or CSV. 14 days free.

When a Xero report won't load, shows an error or comes out with numbers that look wrong, the cause is usually one of four things: a problem on Xero's side, your browser, your user role, or the report's settings. This guide works through them in that order, starting with the live status of Xero's Reporting service in the box below. We based this guide on Xero's status page, read in October 2026.

Xero Reporting right now: Operational

Xero's status page shows no open incidents for reporting.

Checked on Xero's status page at 21:27 UTC, 4 Nov. Reload to check again, or see status.xero.com.

Quick answer

  • Check the live box above, or status.xero.com itself. Xero's status page has its own Reporting component, which tells you straight away whether reports are down for everyone.
  • If Xero says everything is working, sign out, clear your browser's cache and cookies, sign back in and try again.
  • If a report is missing from your Reporting menu, the likely cause is a user role without access to reports. Ask whoever manages users in your organisation.
  • If only a custom report fails, open the standard version of the same report. If that works, check the custom report's saved settings or build it again from the standard one.
  • If the report loads but the figures look wrong, check the date range, the cash or accrual basis, any filters, and whether the transactions you expect are approved.

1. Is Xero down? Check the status page

Xero posts incidents on status.xero.com. Under Core Xero Products there is a component called Reporting, next to separate ones for tax reporting (BAS, UK VAT and MTD, NZ GST and others). Each shows Operational, Degraded Performance, Partial Outage, Major Outage or Maintenance.

Two recent examples from the page's incident history:

  • 5 June 2026, "Global: Reporting - Errors loading reports". Xero wrote that "some customers trying to load reports are experiencing error messages or pages not loading". It was reported at 15:47 UTC and resolved at 16:30 UTC.
  • 23 June 2026 (NZ time), New Zealand. Some NZ customers had trouble accessing reporting and invoices. Xero said the cause was poor network connectivity.

Around tax deadlines, a problem that looks like Xero is sometimes the tax office's connection. In September 2026 the status page listed several incidents for ATO services in Australia and HMRC connected services in the UK, shown under the tax reporting components rather than Reporting.

If an incident is open, there's nothing to fix on your side, so wait for Xero's update. Click Subscribe to Updates on the status page for email updates, or follow its feed at https://status.xero.com/history.atom.

2. If it's only you: fix the browser

When the status page shows everything as operational but reports still won't load for you, the browser is the most likely cause. Work through these in order and try the report again after each:

  1. Reload the page, then sign out of Xero and sign back in.
  2. Sign in from xero.com rather than an old bookmark. Old bookmarks sometimes point to a page address that no longer works.
  3. Clear your browser's cache and cookies and restart the browser. This often fixes slow pages, buttons that don't respond and 404 or 500 errors.
  4. Try a private window, which runs without most extensions. If the report loads there, an extension is getting in the way. Ad blockers and script blockers often cause this.
  5. Try another browser that is up to date, or another device. If the report works on a colleague's computer but not yours, the problem is local.

3. A report is missing or you can't open it

What you can see under Reporting depends on your user role in that organisation. If a colleague can open a report and you can't, or the Reporting menu shows fewer reports than you expect, ask the person who manages users in your organisation to check your role and whether it includes access to reports. Access is set per organisation, so you might see reports in one organisation and not in another.

All of Xero's reports are listed under Reporting > All reports. If you've lost track of a report you used before, look there, or check whether someone else saved it as a custom report.

4. A custom report doesn't work

A custom report is a standard Xero report saved with your own layout, filters and date range. When a custom report won't load or looks wrong, open the standard report it was built from, with the same dates.

  • The standard report fails too. The problem is with Xero or your browser. Go back to steps 1 and 2.
  • The standard report works. Check the custom report's settings: the date range it was saved with, the columns, any tracking filter and the cash or accrual basis. Ask whether a colleague has changed it since you last used it. If it still won't behave, rebuild it from the standard report with Edit layout and save it again with Save as.

5. The report loads but the numbers look wrong

A report that loads with odd or empty figures is usually working as set up. Check these before you assume a fault:

  • Date range. Check the from and to dates, and that the period you compare against is the one you mean.
  • Cash or accrual. Reports such as the Profit and Loss run on either a cash or an accrual basis, and the two give different totals.
  • Filters and tracking. A tracking category filter, or a saved layout someone else changed, narrows the report without making it obvious.
  • Draft invoices and bills. Drafts don't show in your financial reports. Approve them, or look at them in the invoice and bill lists instead.
  • Unreconciled bank lines. Bank statement lines that haven't been reconciled aren't in your accounts yet, so the reports don't include them. Reconcile first, then run the report.

6. Export problems

  • Excel shows 0.00 in total rows. Excel shows formula cells as 0.00 while a downloaded file is in Protected View. Click Enable Editing in the yellow bar and the totals should fill in.
  • Export to Google Sheets doesn't work. You need to be signed in to a Google account for that export.
  • You need the data, not the layout. See how to export data from Xero for invoices, contacts and transactions, and exporting Xero reports to Excel.

When to contact Xero support

If there is no incident on the status page and the report still fails after the browser steps, contact Xero support from Xero Central, its help centre. Include the report name, the organisation, the date range and settings you used, the exact error text and a screenshot. That saves a round of questions.

Scheduled reports when Xero is down

If you send reports to a manager, client or lender every week, an outage on the wrong morning means a missing email. Reportpost emails Xero reports on a schedule as PDF, Excel or CSV, and it's built for the mornings when Xero isn't working:

  • A short error. If Xero sends back a brief error or the connection drops, Reportpost asks again a few seconds later.
  • A longer outage. If no report can be produced, or the email can't be sent, Reportpost tries the whole send again about 25 minutes later and about two hours after that. Each try covers the same period, so a Monday report on last week still covers last week. You get an email only if the last try fails too.
  • Some reports fail. The email goes out with the rest of the pack and tells the recipients which reports couldn't be produced this time. You get an email listing them.
  • The Xero connection was removed or has expired. You get an email straight away asking you to reconnect.

If a send does fail, you hear about it the same day, before a recipient asks where the report is. The people who get the reports don't need a Xero login. Reportpost builds its reports from your Xero data, so a custom report or layout you saved in Xero won't carry over. Xero's API doesn't give apps access to custom layouts.
